We’re looking for a Flooring Project Coordinator who can manage everything from plan takeoffs and budgeting to supplier communication and bookkeeping. Key Responsibilities
- RFI & Plans
- Perform takeoffs using PlanSwift
- Manage RFIs (Requests for Information) and update takeoffs as needed
- Work with Suppliers & Subcontractors
- Obtain and compare prices/quotes from vendors
- Shop for the best prices and schedule materials
- Coordinate schedules and pricing with subcontractors
- Create Proposals & Budgets
- Use ZevBit to create detailed proposals
- Maintain budgets when purchasing
- Prepare and track change orders as required
- Manage Paperwork
- Keep contracts, insurance documents, and receipts up to date
- Send Certificates of Insurance (COI) and agreements to customers
- Ensure subcontractors’ insurance remains current
- Accounts Receivable (AR)
- Send progress invoices
- Follow-up on payments and collections
- Approve and Track Expenses
- Review and approve vendor invoices
- Monitor and record expenses to stay within budget
- Record Transactions
- Enter all transactions into QuickBooks
- Reconcile bank accounts monthly
Qualifications
- Experience in Construction or Project Coordination: Ideally within the flooring industry (hardwood or vinyl)
- Technical Proficiency: Familiarity with PlanSwift (for takeoffs), ZevBit (for estimating), and QuickBooks (for accounting)
- Budget & Financial Skills: Ability to manage project costs, review invoices, and reconcile accounts
- Organizational Skills: Capable of multitasking, prioritizing projects, and keeping documentation accurate
- Communication Skills: Comfortable working with clients, vendors, and subs to keep projects on schedule
- Attention to Detail: Able to spot discrepancies and maintain precise records
