Role Summary:
The Business Systems Specialist is responsible for administering and supporting the firm’s core business applications and internal systems, including CRM (Clio, a legal CRM), HubSpot, the WordPress website, and related operational platforms. This role ensures system reliability, handles user access and onboarding, coordinates system‑related tasks and updates, and serves as a key point of contact for application support across the firm. The Business Systems specialist works closely with operations and legal to maintain efficient workflows and support timely client response.
Specifically in HubSpot:
Setup
Create custom properties and objects for contacts, companies, deals, etc.
Set up and tweak lifecycle stages, pipelines, and lead scoring.
Automations
Build and fix workflows for leads, notifications, tasks, and team processes.
Keep them running smoothly and error-free.
Data Cleanup
Deduplicate records, merge duplicates, and remove bad/old data regularly.
Build useful lists for reports and targeting.
Run checks to keep data accurate.
User Help
Manage user permissions and access.
Train the team, answer questions, and fix issues.
Reports
Make custom reports and dashboards for key metrics.
Stay on top of new HubSpot features and suggest upgrades.
Integrations
Help connect HubSpot to forms, calendars, payments, Clio CRM, Dialpad, etc.
Work with other teams to turn needs into HubSpot fixes.
